Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The role is central to keeping our documentation, records, and day-to-day administrative functions running smoothly while supporting our operations, fleet management, and safety compliance efforts. This role requires strong computer skills, proficiency with office software, and the ability to handle multiple tasks efficiently in a fast-paced environment.

Duties

  • Maintain and organize company records, files, and documentation (digital and physical)
  • Support document control processes, including versioning, tracking, and compliance requirements for ISO
  • Assist with data entry, reporting, and maintaining internal systems and spreadsheets
  • Coordinate and track fleet-related documentation (maintenance records, inspections, registrations, work orders)
  • Assist the HSE Coordinator with compliance tracking
  • Prepare and distribute internal documents, reports, and correspondence
  • Assist operations team with scheduling, job documentation, and general coordination, travel arrangements, hotel bookings, etc
  • Perform general clerical duties such as filing, scanning, and managing communications
  • Ensure accuracy, consistency, and confidentiality of company records

Experience

  • Prior office experience is required, preferably in administrative or clerical roles
  • High level of proficiency with Microsoft Office software, especially Microsoft Excel.
  • Strong organizational skills with the ability to multitask effectively in a busy setting
  • Proficiency in data entry, typing, proofreading, and managing multi-line phone systems
  • Excellent communication skills and professional demeanor are essential for success in this role
