What is the Opportunity?
We’re looking for a SharePoint Analyst (Document Management Specialist) to join our Corporate Information & Technology department. Reporting to the Manager, Enterprise Systems & Analytics, you’ll play a key role in maintaining and optimizing the City’s SharePoint environment.
In this role, you’ll work closely with departments across the organization to migrate content, improve document management practices, and implement user-focused SharePoint solutions. You’ll be the go-to expert on SharePoint administration, helping to align our technology with business needs while ensuring compliance with our Data Governance framework. This is a new role, created as part of the City’s broader data strategy—offering the opportunity to make a significant impact from day one.
What will you do?
As a SharePoint Analyst, you’ll support the growth, usability, and integrity of our SharePoint platform. Key responsibilities include:
Migrating and organizing content in alignment with the City’s Data Governance framework
Managing lists, libraries, metadata tagging, and document retention settings
Providing end-user support and troubleshooting SharePoint issues across departments
Conducting training sessions to improve adoption and user confidence
Configuring SharePoint sites, libraries, and permissions for optimal performance
Designing and implementing custom solutions using web parts, workflows, and Power Platform tools
Leading SharePoint-related projects and collaborating with vendors when required
Monitoring system performance, managing backups, and ensuring platform security
Staying current with SharePoint updates and trends, including integration opportunities
Who you are?
You’re a detail-oriented, solution-focused IT professional who thrives on helping others get the most out of digital tools. You’re collaborative, organized, and confident managing content-heavy projects. You bring:
Post-secondary education in Information Systems, Computer Science, or a related field
3–5 years of experience administering SharePoint Online or SharePoint Server
Strong knowledge of SharePoint architecture, design, and document management
Experience with Power Platform, SharePoint customization, and integration projects
Excellent communication and analytical skills to engage departments and translate needs into solutions
Microsoft SharePoint or Teamwork certifications, ITIL, or PMP/PRINCE2 (assets)
Experience in records management or M365 administration (assets)
