About You
What We’re Looking For - Drawing on previous experience in an Administrative/Executive Assistant capacity you take ownership of a full-time position within our practice and will be responsible for assisting with the servicing of a well-established, client-centric financial planning practice. You must be a self-motivated and disciplined individual with a passion for client service. This is a growth role with an opportunity for future education, training, development, and client engagement within our practice.
Responsibilities We’ll Trust You With
· Providing Administrative/Client Service Support
- Reviewing client accounts, maintaining account lists, tracking client documentation, and providing support for our financial planners in preparing deliverables and strategies for clients
- Proactively updating and maintaining team calendars, running weekly practice update meetings, identifying scheduling opportunities
- Filling out digital applications and forms, maintaining Excel spreadsheets and CRM reports
- Entering and managing client data in our CRM system (Salesforce),
- Assisting with the onboarding and support of new clients
· Managing Client Communications & Engagement
- Outgoing client service calls and other communications to support clients, book meetings, and offer invitations to events.
- Replying to inbound client service requests to assist with client inquiries and other financial planning needs.
- Preparing for and attendance at events and seminars that we host for clients and prospective clients.
Qualifications
· Experience. 5+ years of experience providing office administrative,
· Technology. Strong technical ability, including experience with Microsoft Office, and the ability to gain proficiency with new software swiftly.
· Software. Experience with Salesforce, DocuSign, and financial software systems given preference.
· The details. Detail-oriented, strong time-management skills, effective written communication skills
· A love for people! Strong interpersonal skills and demonstrated ability to build & and maintain client relationships and to work effectively with other members of a high-performance team.

Core Business Hours
· 8:30 am-4:30 pm Monday to Friday, subject to some flexibility based on your circumstances.
